Become an Exhibitor

Display and sell your products at the Canadian Tulip Festival to over 420,000 people. There are limited Exhibitor spots available in 2024, and we are looking for the very best to represent Ottawa to the world.

Due to the incredibly limited space and the specific artistic criteria for each vendors, the Canadian Tulip Festival will be adjudicating entries based on the criteria below:

New or Established businesses welcome

Full Festival (limited availability)

Sell your tulip-themed merchandise for the full 11 days (May 12-22) and take advantage of crowds totalling more than half a million people. Great exposure for your business as well as representing Ottawa to the world.

Application Process

All artisans are required to complete the application below. A team of adjudicators will review each submission. Should your application be accepted prior to April 1, the Festival will issue an invoice for the deposit. If accepted after April 1, payment will be due in full. Full payment must be received prior to the start of the Festival.

Terms & Conditions(Required)

The Exhibitor must provide proof of adequate insurance coverage which meets the guidelines of the Canadian Tulip Festival. Without this proof, the Festival cannot allow an Exhibitor to participate.

Management agrees to provide the Exhibitor with a 10x10 tent and onsite security at no charge.

All electrical wiring and outlets shall be at the Exhibitor’s expense. All operating electrical equipment used in the exhibit must have CSA or equivalent provincial power authority approval.

Space contracted by the Exhibitor may not be sublet without the prior written permission of the Festival. The Exhibitor may not distribute literature or promotional material from a third party without the prior written consent of the Festival.

The Exhibitor agrees to abide by all regulations and rules adopted by the Festival Management in the best interests of the Festival, and agrees that the Festival shall have the final decision in adopting any rule or regulation deemed necessary prior to, during, and after the event.

The Exhibitor will be liable for and will indemnify and hold harmless Management from any loss or damages whatsoever suffered by Management as a result of any loss or damages whatsoever occurring to or suffered by any person or company, including, without limiting the generality of the foregoing, the Exhibitor, other exhibitors, Management, the owner of the area and their respective agents, servants and employees and members of the public attending the festival, either on the said space or elsewhere if said loss or damages arose from or were in any way connected with the Exhibitor’s occupancy of said space.

The Exhibitor is encouraged to use The Canadian Tulip Festival’s logo to promote their participation at the Event. It cannot be used in any way that is perceived as an endorsement by the Canadian Tulip Festival of the Exhibitor’s company, product, and/or service.

The Festival reserves the right at any time to alter or remove exhibits or any part thereof, including printed materials, product, signs, lights, or sound, and to expel exhibitors or their personnel if, in the Festivals opinion, their conduct or presentation is objectionable to other Festival participants and/or attendees.

The Exhibitor agrees to confine their presentation to within the contracted space only, and within the maximum height set by the Festival rules and regulations and to maintain staff in their booth space during Festival hours.

The Exhibitor agrees to provide and operate their own Point-of-sale equipment without access to the internet. Should internet be available, it will be at an additional cost to the Exhibitor, to be determined by the Festival.

The Exhibitor agrees to provide all signage in both official languages (English and French) wherever possible.

The Exhibitor agrees that no display may be dismantled or goods removed during the entire run of the Festival and must remain intact until after the closing hour of the last day of the contracted term. The Exhibitor also agrees to remove their exhibit, equipment, and appurtenances from the Festival site by the final move-out time, or in the event of the failure to do so, the Exhibitor agrees to pay for such additional costs as may be incurred.

(a) The Festival reserves the right to change the date(s) and times upon which the Event is to be held in its sole and absolute discretion and shall not be liable for damages or otherwise arising directly or indirectly as a result of any such change.
(b) The Festival shall not be liable or responsible to the Exhibitor in damages or otherwise including, without limitation, refunds of any kind, nor be deemed to have defaulted under or breached this Agreement, for any failure or delay in fulfilling or performing any term(s) of this Agreement by or as a result of fire, storm, flood, war, rebellion, insurrection, riot, civil commotion, strike, pandemic, including, without limitation, the 2019 novel coronavirus (COVID-19), public health emergency, Provincially or Federally mandated lockdown or any other cause of any kind whatsoever beyond the control of Festival Management.
(c) In the event that the exhibit space to be used by the Exhibitor should in any way be rendered unusable in the Festival’s sole and absolute discretion, the Exhibitor shall be responsible to pay for such space pursuant to the terms of this Agreement on a pro-rata basis only for the period during which it was or could have been used and/or for the useable portion of the space as determined within the sole and absolute discretion of the Festival.
(d) In the event that the Festival is cancelled pursuant to this Section, Festival Management shall refund all monies paid to the Festival by the Exhibitor, without penalty or interest, to the date that the Festival decides that the Event is cancelled. The aforementioned refund shall constitute the entirety of funds that the Exhibitor shall be entitled to from the Festival as a result of such a cancellation and the Festival shall not be liable for damages or otherwise arising directly or indirectly as a result of such a cancellation.

The Festival reserves the right to cancel this contract and to withhold possession of exhibit space if the exhibitor fails to perform any material condition of this agreement or refuses to abide by the Festival rules and regulations, in which case the Exhibitor shall forfeit as liquidation damages all space rental payments made by them and any further occupancy of such space.

Management reserves the right to alter or change the space assigned to the Exhibitor.

Cancellation Policy - 2024Festival
Deposit is 50% until April 1, 2024 at 5PM, and 100% after April 1, 2024.

This contract may be cancelled by either party provided written notice is received by the other by April 1, 2024, in which case all monies paid by the Exhibitor will be refunded. If the Exhibitor cancels after April 1, they will be liable for 100% of the total contracted space costs. By cancelling this contract, the Exhibitor forfeits all rights or claims to the allocated space and the Festival is free to rent it to others and collect the cancellation charge as liquidation damages.
